This report is relating to describing the approaches that can be used by Soft Arc Engineering for providing office automation to its staff members. This report is also explaining the benefits and issues involved with these approaches.
a) Provide Soft Arc Engineering with two different approaches to providing office automation to their civil engineering staff
There are various approaches that can be used by Soft Arc Engineering for providing office automation where some of the approaches are as follows.
OneDrive: Soft Arc Engineering can start using OneDrive for providing office automation to its civil engineering staff. This is helpful in fulfilling office automation requirements of the company such as maintaining secondary copies of data, maintaining sufficient storage space, providing file sharing facilities and other such cloud related services (Mitroff, 2016).
Google Drive: It is a combination of set of tools that are helpful in efficient cloud storage facilities in cloud. Soft Arc Engineering can use Google Drive for various activities such as word processing, desktop processing and other such software to create, edit and modify the documents. The company must focus on electronic sources for publication of any information rather than publishing it in any physical form and the same shall be stored in GoogleDrive. This is helpful in implementing effective office automation where all the data is to publish through the use of computers and utilization of storage space up to 15GB (Mitroff, 2016).
b) Outline the major benefits and issues for each approach
OneDrive and Google Drive are the approaches through which office automation in Soft Arc Engineering can be provided to civil engineering staff of the company. The major benefits and issues involved in these approaches are as follows.
Benefits: This is helpful for Soft Arc Engineering in increasing the productivity of work through reducing the time and cost involved in the communication process which was used earlier and other data storage facilities (Ahmad & Khan, 2015).
Issues: According to Locsin (2017), this approach is a time-consuming approach as this will require consuming time while communicating through electronic ways including e-mails or fax. This can also create risk to data loss and leakage where less skilled employees will not be able to access to such means which are difficult to understand.
Benefits: This approach to office automation will bring an end to work of clerical officers and this will also improve the quality of work in Soft Arc Engineering. This is also helpful in providing efficient cloud storage facilities.

These are including communication through e-mails, fax, and voice mails. Soft Arc Engineering must go for this approach as it is useful for the company in using cost and time effective methods for communication. Through this company will be able to share all the information relating to office automation to its staff in effective and efficient ways. This approach is useful for the company in reducing the work of human resources where the company can use such human resources in other productive work. This will be helpful for Soft Arc Engineering in increasing the overall efficiency of the company (Jatain, 2013).

a)Describe the difference between local hosted infrastructure and infrastructure provided using an IaaS provider in the public cloud.
IaaS stands for Infrastructure as a service which is a type of cloud computing which provides resources and information over the internet. IaaS is a third-party model, which provides facilities to the customers and clients. Facilities like host hardware, software, server, storage and other infrastructure components. It Provides facilities on behalf of its users to its clients and customers. IaaS also handles task, hosts user’s application including maintenance, backup and resiliency planning. It offers resources according to the demand of the customer (Xue, et. al., 2016). This makes IaaS flexible for workloads which could be temporary, experimental and unpredictable changes.
1.The first difference between host services and cloud services is in host services, data is maintained at one place and being accessed by the local people only, but in the case of cloud service, data is maintained at one place and can be used by anyone who needs to use it.
2.In the words ofKaur (2015),the time to complete the task takes more time in the host or private service because the data is kept at different places, whereas in public or cloud service time is consumed because data is maintained at one place, so it can be used easily.
3.Expenses related transportation cost does not be incurred in case of public service. In private services expenses related to transportation cost will be more as to bring the data from different places.
4.In terms of security data kept in private services will be safer as only limited people will have the access to use it. But in the case of public services security of data is very less because data can be access to any person and can be manipulated.
5.Public services are preferable in small type of business, whereas public services will be used by large business who have their branches more than one state or cities.
6.In public service, major control is with the top-level managers so clashes among the organization can increase will increase due to the authorities gave to one person. In private service, no such clashes will arise because the authority will be equally distributed among all the persons at different levels (Xue, et. al., 2016).
7. Due to the collected at one place more of data will be available which increases the knowledge of a person but in the case of private service less, information will be available as different data is collected at different places.
8.Training is to be provided in order to use the data in an appropriate manner with the complete knowledge of the data. No such training is to be provided in case of private services.
9.According toKaur (2015),the costs incurred in maintaining and building the infrastructure to keep all the data at on place will be more in the case of public services. In the case of private services, no such costs will be incurred because all the data is presented at different places and safely.
b) You need to explain different critical issues and factors, other than cost, that Soft Arc Engineering will have to consider in choosing to migrate their infrastructure to an IaaS service provider.
It is not easy to transfer all the confidential and usable data at one place. A lot of factors affect to carry and transfer the data including cost. Different critical issues and factors who affect the migration of the data are explained below:
Keeping all the information or data at one point or place in a systematic manner needs huge space. To find such a large place is a challenge for the business.
A lot of time will be wasted to search for the perfect location to keep all the important data safely. Once a place found, time to build four walls to protect the data from external factors will also take time (Al, et. al., 2014).
A lot of risks is involved in migrating the data from one place to another. There is a risk of accidents, natural calamity, theft or data corruption, all these factors increase the risk of transferring the data.
To migrate the data some of the people will need to carry it safely. In this case trust among the employees of the staff members and good relations among the organization works. Trust worthy person is given the responsibility to carry out the risky task. To complete this task a business can hire any agency but again trust factor arises (Cyril & Kumar, 2015).

Major differences between IaaS, PaaS, and SaaS are as follows.
IaaS: It stands for infrastructure as a service where this model offers cloud infrastructure. This model enables the clients to use their own operating system and manage the systems. With the use of this model, multiple users can access on same hardware resources (Ahmad & Khan, 2015).
PaaS: It stands for the platform as a service where this model makes it possible for the customers to use computing platform for developing and hosting their own applications. In the opinion of Goyal, (2013), through this model, users are not required to download or install such software.
SaaS: It stands for software as a service where software applications are hosted by vendors for use of customers. These applications can be accessed by the clients on demand (Al, et. al., 2014).
b) Recommend the model that you consider most appropriate for this service and discuss why this model is the most appropriate for the SharePoint service
The most appropriate model for the Microsoft SharePoint 2013 services of Soft Arc Engineering will be SaaS model. In the words of Goyal (2013), this model is a most suitable model for Soft Arc Engineering as SaaS model allows provides the access facilities on demand over the network. With the use of this model staff of Soft Arc Engineering is not required to install a copy of such applications on their software. This model also provides a same integrated platform for development and deployment of data with low maintenance costs. This would enable staff members of Soft Arc Engineering to create, managing and sharing documents in effective and efficient ways. With the use of SaaS model, all staff members of Soft Arc Engineering can access to the data with less time and fewer costs. This model is also beneficial for the company in providing broad applications of services to the staff members of Soft Arc Engineering (Khanghahi & Ravanmehr, 2013). In that case, it creates security issues concerned with such data as all the data is maintained by the vendor. Implementing SaaS model is a risky and cost consuming process and this model also limits customization of applications for large clients. This model can create security and privacy issues with the sensitive information of clients of Soft Arc Engineering (Ahmad & Khan, 2015). This model can also result as increasing the conflicts with data governance regulations.
