Introduction

In this project of event management, my theme of project is to promote business through my promotional marketing planning. I properly planned the events for marketing of my business which help in interacting with its potential customers and supporters. The event I will organise in my company shows my sponsors, the success and failure status of my organisation.

Reflect on the success factors of the staged event

To plan a proper event for this purpose it is needed to have a proper coordination of internal and external factors. These factors can be in the way of budgeting, development of program, coordination of the employees with the management and designing of the event. I will need a proper team by my side throughout the planning process. There is always some cultural and personality differences within a team so I need to take care of that and distribute the work accordingly because proper coordination is the key element for them. Empowering the employees can be better way to gear up the working of the event as empowerment gives a sense of responsibility in the employees which enhance their working quality. Before the successful completion it is necessary that I should have purpose and objective added in the planning process on the basis of which I can give reward to them for the objectives they have achieved. This will keep their morale high. For a successful event it is necessary to have coordinated action plan which I had in my organisation. I arranged proper location, entertainment, food and beverage arrangement and other promotional activities which helped in better customer satisfaction. I chose a proper location which is not even far from the city or not even in the mid of the city which will hinder the general public in their daily lives. I figured out all the considerable problems which can come in between my action plan and made a proper solutions and alternatives prior to my event. This event was an effective marketing technique to achieve the desired goals and to increase the market share of the company.

Reflect on the appropriateness of the plans to the execution and staging of the event

To execute my event I needed a proper action plan and a mission statement which I had made already. A proper vision of the plan can help in collecting the resources and timelines of the event. For the execution part of my event I gathered key organizers who will be the organisation’s CEO, corporate officer, president, executive director and other departmental heads. They will be the key authorities for any decision making and implementation proceedings as well as legal and financial aspects of the event. I determined proper deadlines for my tasks to be done on time by which the event can be accomplish on time without any delay. I assigned duties to all the members of the organisation to complete the task with an ease and help in transition from one stage to the other. The technique I used for the development of the event was basically time focused which visualise the end results and guides to work back from that end point. This technique is helpful for the adequate time allotment for the event. Basically the end result of my event was to generate revenue for the organisation. This is to ensure viability of the organisation.

Reflect on the event

As an event manager of the company it becomes my duty to recognise and develop more resources to maintain a relationship with my clients. I used many promotional activities in the form of mails, internet, media outlets or publications which is needed for the budgeting process of the event. For the promotion of larger event it is necessary to promote it to the public through television which is a beneficial means to attract the public at large. Similarly for the promotion of small events more personalised way is better in the way of mailing or direct contacting. The public and audience who are attending our event should get benefited with the services we are providing to them as in seating arrangement, food, entertainment etc. we will make sure that they will not get irritated or annoyed with any of the facilities provided by us. Various cost cutting measures were also taken care to control the budget. It is necessary for me as an event planner to foreseen the contingency in the event which cannot be seen earlier. This contingency planning can be effective way to deal with the worst case scenarios in the organisational events and in its proper management. Duty of an event planner is not end with the end of the event so I did the post event assessment which is necessary for the proper review of the event. A report is prepared for the future reference. Other members and guests can better analyze the event than the planner so to get a proper critique of the event proper interview process were held.

Conclusion

As a successful event planner I should take care of the resources especially the past events to produce an important event. All the objective and subjective evaluations was done to produce a successful event.Duty of an event planner is not end with the end of the event so I did the post event assessment which is necessary for the proper review of the event.
