Introduction:

This assignment is done in order to develop the sustainability policy of the organization. It discusses about the whole process of development of the sustainability policy after assessing the already existing policy of the organization. This assignment helps the learner to learn about the different communication martods that can be used to communicate the sustainable policy to all the stakeholders and also provides the idea about the implementation nad review of the sustainable policy.

Part 1: Develop Workplace Sustainability Policy

Task 1:

Review of organization’s current position:

Management commitment: As far as the management of the company is considered, it focuses on maintaining the sustainability in the organization by its processes. It regularly checks for all the activities of the organization that directly or indirectly affecting the environment.(Ali, 2013)

Planning and communication processes:The management of the company regularly focuses on developing the plan for the sustainability policy. The company formulates a different department in order to assesses all the activities that affect the environment and then ask that department to plan for the policies that are sustainable in nature and that helps the organization to conduct the activities in the mast sustainable way.

Waste management: Waste management is referred as the activities that needs to be conducted by the organization in order to manage the waste produce by its processes. The organization discussed in this report is manufacturing firm that produces lot of waste that needs to be managed carefully. The solid waste of the factory is accumulated and dumped in a big hole dug behind the factory side that waste gets converted into composed material and decomposed into soil. The water waste has no management policy in the company. It flows down to the area from the sewage system made.(Barr, 2016)

Air emission management: The polluted air that has been emitted from the factory site alos get mixed with the atmosphere and there is no management for it. As discussed that the organization is a manufacturing firm so many chemicals has been used by the labors at the factory site. Company has the policy to provide safety to the labors with the help of safety materials, guards and after accident services at the factory site. As many waste products release from the factory thus it made the vicinity of the organization very harmful because the atmosphere near the organization get affected by the harmful effect of the waste generated. This alos ruin the visual impact of the company.

Natural balance is very important for the nature. In recent times, it has been observed that the human activities are ruining this balance of nature on earth. In the organizational context, sustainability can be defined as the processes that needs to be conducted in order to reduce the production of all sorts of waste such as solid, liquid or gas and reduction in the use of energy that cannot be renewed.(Ehp.qld.gov.au, 2017)The organizations have to use the renewable sources of energy in order to implement the sustainable policy. Sustainability is directly linked with the environmental issues. The first is the ecological sustainability that is related to the limited availability of the non-renewable sources on earth. Next is the financial sustainability that deals with the distribution of wealth. Last one is the societal sustainability that deals with the facilitates provided to the society related to sanitation, housing etc.

That major Act in Australia that is related to the Environment sustainability is The Environment Protection Biodiversity Conservation Act 1999. This Act provides the legal consideration that needs to be assessed in terms of maintaining the sustainability in the environment or the protect the nature. This helps in maintaining the ecological balance on earth. Another important Act that focuses on maintaining the sustainability is The Corporations Act 2001. According to this Act, every company has to mention the breach of the environment policy in the annual reports. Some of the other Act that are alos considered for sustainability by the organization are Environment Protection Act 1981, Hazardous Waste Act 1989 and Ozone Protection and Synthetic Gas Management Act 1989.(Humanservices.gov.au, 2017)

After assessing the whole data and the information, there is a requirement to communicate all this to the stakeholders before development of the new sustainable policy. The new sustainable policy can only be made after discussing everything with the stakeholders as it is very important to consider the views of the stakeholders in the development of the new policy. The strategies that can be used to explain the information to the stakeholders involve many methods. Employees are the stakeholders that can be informed with the method of induction sessions. This helps the new employees of the company to kano about its sustainability policy. Intranet is another medium that can be used to inform all the people about the changes and the sustainability policy drawbacks. Communicating the information regarding the sustainability policy and the new of development of the new sustainability policy can make the stakeholders aware of their part and involvement in the development process of the new sustainability policy. This made them realize that they have to contribute in the process by sharing their views.

Summary:

The first thing that needs to be done in order to make the sustainability policy is to define its scope in the organization.

Before developing the sustainability policy, it is alos necessary to assess the already existing sustainability policy of the organocation so that the weak points of the policy can be acknowledged and the changes can be made accordingly.(Hope and Player, 2012)

After assessing the existing policy, it is required to identify the stakeholders and involve their views ion the process of developing the new sustainability policy.

The policy should be drafted that involve all the strategies as well as the methods of communication that helps in raising the awareness regarding sustainability in the organization.

The drafted policy needs to communicated to all the stakeholders before its implementation.

Task 2:

SUSTIANABILITY POLICY:

Vision statement: We as a manufacturing company intend to provide the best quality product to the customers and alos focus on maintaining the sustainability of the environment by making our work processes improved in terms of the ecological, and social sustainability.

Goals and objectives:

Goal 1:

In terms of energy reduction, the company will focus on reducing the use of any type of energy and tries to use the energy from the renewable sources

Objective 1: All the equipment that use energy should be purchased with the rating by Energy Star Program

Objective 2: At the end of the day in office and in factory, all the lights and the devices that consume energy should be switched off. An employee will be given with the responsibility to re check all the switches

Objective 3: The company will focus on keeping the records of the energy use in the office and the factory and then strategies will be made to reduce the energy use at the area that has been detected with high energy usage.

Goal 2:

With the focus on managing the waste, the company will make efforts in reducing the amount of the waste produced by the factory and the at the office site

Objective 1: the company will track the amount of waste produced and then will reduce the amount of waste by 20% each year.

Objective 2: Consumption of hazardous material should be reduced to 15%

Objective 3: Solid and liquid waste should be collected and composed with different methods.

 Part 2: Communicate Workplace Sustainability Policy

Task 1:

After formation of development of the sustainability policy, it is important to communicate this policy to all the employees and the people working in the organization so that they can follow the guidelines given in the policy or suggest some ways to achieve the sustainability goals. Different communication methods can be used to communicate the sustainability policy plan to the people such as:

Internal Newsletters: The internal newsletter of the organization is the very effective method to communicate the sustainable policies to the stakeholders. A special issue can be released by the organization that is exclusively for the sustainability. To make this paper more effective, the message from CEO can be involved in the paper that makes it more authoritative regarding the implementation of the strategies for sustainability in the organization.(Mancebo, 2013)

Posters and notices: Another promotional strategy that can be used to communicate about the sustainable policy all over the office and the organization is making and sticking posters and notices all around the office. The posters and notices on the walls of the office act as the constant reminder for implementing the strategies of sustainability. This also helps in encouraging the people to know about the sustainability objectives and conduct the activities that can lead to sustainability of the environment. Including charts and graphs in the posters alos helps in delivering the current situation of sustainability and the gap between the current situation and the situation to be achieved accelerate the efforts of the people.

Meetings: Meetings are the medium that helps to conduct the two-way communication between the employees and the employer. This method is used to deliver the full-fledged information about the sustainability plan and the targets to be achieved in order to attain the sustainability objective mentioned in the sustainability policy of the company. It is a very good medium to explain about the expected outcomes from the employee and explain the strategies to the particular department people that needs to be implemented in their department.

Logo or mascot: Creating a logo and a mascot helps in developing the brand image of the company as sustainable. This is used to make the people aware of the implementation of the sustainability procedures in the process by the company. It increases the brand name of the company and makes it popular among the customers. It can alos act as the marketing strategy for the company.(Nye and Mulvaney, 2016)

Part 3: Implement Workplace Sustainability Plan

Task 1:

To implement the sustainability plan in the organization, the company needs to develop the procedure or the guidelines that need to be followed by the employees in order to implement the sustainability plan. This procedure act as the framework to assist the employees and the other stakeholders of the company to achieve the objectives that has been created under the sustainability plan of the company. Communication of the sustainability plan make the people aware about the implementation of the sustainability procedure but it does not allow them to know about their responsibilities to contribute in the plan for sustainability. Therefore, a full procedure needs to be developed that let the people know about their responsibilities and their part so that they can make their contribution in achieving the sustainability objectives in the organization.(Robinson, 2012)

Development of procedure

To develop the procedure, it is very important to identify the stakeholders that needs to be involved in following the procedure. Development of the procedure require several information such as compliance guidelines, the employee’s views, the condition of the department etc. The procedure should involve the strategies, the key stakeholder that need to implement the strategy, the target and the responsibility:

This also helps in encouraging the people to know about the sustainability objectives and conduct the activities that can lead to sustainability of the environment. Steps to reduce paper waste:

1.Use bity the sides of the paper for printing

2.Use electronic mediums for delivering updates rather than paper notes

3.reuse the folders and the envelopes

4.Do not use extra margins on the paper

5.Place recycling box under the desk that should be emptied weekly to select out the paper that can be used again.

Process of implementation:

The process of implementation that has been used to implement the strategy is to stick the note near the photocopier machine and send the mails to every employee and staff f regarding the target to be achieved in order to reduce the paper waste.

Barriers management:

The barriers that has been faced while implementing the strategy to reduce the paper waste were restriction of the employees to practice such steps, and availability of lots of paper on the desk. These barriers can be overcome by setting the target for every employee or the department for the reduction of paper waste and the policy should be released that approval of stationary department is needed to demand for the blank papers.(Ali, 2013)

Task 3:

The recording system that has been used to track the improvement in the above case is the records of the purchase department for the papers. This record helps in determining the percentage decrease or increase in use of paper by the staff at the office.

Part 4: Review Workplace Sustainability Policy Implementation

Task 1:

After reviewing the policies of sustainability that has been implemented, it has been analyzed that company has managed to be committed with the statement that has been mentioned in the policy. The company has made several efforts to reduce the energy use and the wastage. The company has alos implemented the strategies to reduce the use of paper in the office so that less waste is generated. After using such strategies, it has been analyzed that the environment of the company has become more sustainable and pollution free and green purchase is the strategy implemented that assist the purchase department to purchase all the equipment that are green in nature.

1.Success of policy: After analyzing the situation, it has been identified that the company has stayed committed to the statement of commitment. So, the plan is said to be successful.

Reduction of greenhouse emission by 25% from the company by 2018.

Conclusion:

Implementing nad developing the sustainability policy in the organization is very essential. This is because the harmful practices of the organization and the over use of the energy that is not renewable is affecting the environment in very negative way. Development of the sustainable policy helps the organization to maintain the balance on earth nad alos helps in making the internal processes of the organization pollution free.
