Continuous Improvement Case Study of Queensland Government

The case study discussed in this essay is Queensland Government which provides the services of electrical wire and switchboard and switch gear. In this, the organization also provides the services related to the engineering work. The Queensland Government is seeking and completing the projects related to the Rail Centre 1. In this case study, the organization Queensland Government has been offered to provide its services to Rail Centre 1 to upgrade the main switch board. The work is to be provided in the direction of supplying and installation of new switch boards and cables to upgrade the building and its air conditioning systems. This is mainly for the purpose of providing the facility of complete services to the Rail Centre 1 for improving the air conditioning systems of the Rail Centre 1 at the time of power outrage. The case study provided must have the project management specifications. In this project of continuous improvement the Queensland Government is has the project of achieving the continuous improvement in the switch boards of Rail Centre 1 for regular up gradations and less problems. This project includes the activities and techniques for which the different engineering work has been processed to initiate the working of up gradation of switch boards. For extra and maximum capacity of switch boards, the organization has considered to upgrade the switch boards so as to provide upgrade in air conditioning during power outrage.

According to Stadnicka and Antosz, (2015), continuous improvement plan is the basic for any organization to improve and get the best results out of the efforts. The continuous improvement and innovative solutions helps an organization to develop and enhance the global market. The continuous improvements brings the company in a position of preparing for the next level of international capturing of global market. The team work and motivation of the factor for an organization to consider for continuous improvement. The involvement of worker is the factor which affect the companies to get the continuous improvement in an organization (Stadnicka and Antosz, 2015). The Company which is considered in this essay is a large company and needs an improvement in an organization and its engineering concepts of air conditioning systems. For installation of the switch boards to provide upgraded facility to a Rail Centre 1 it is required by Queensland Government to upgrade the building air conditioning systems during power outrage.

Continuous Improvement Plan is the strategy and the action plan which is to be prepared by the project workers to attempt a particular action and achieve that action on time. Stadnicka and Antosz, (2015), provided that the continuous improvement in an organization is done with the help of maintaining or planning a strategy to do work. Continuous improvement includes the up gradations and updates in the existing system or product. The companies use the continuous improvement plan in the manner to achieve the best and improve the quality of work. The continuous improvement plan includes various steps related to achieve the tasks which are brief description of work which is intended to do, why the work should be achieved, what is the objective to achieve by the improved work, time which is required to complete this improvement of work, which team will achieve the improvement of work, what specifically the activities will be involved in continuous improvement plan, monitoring the whole improvement work (Stadnicka and Antosz, 2015).

As per Kovach1, et.al. (2011), continuous improvement is also based on the quality management of the activity which is performed. The continuous improvement provides the quality to the services or the products as new innovations and quality aspects are to be measured by the organizations. Continuous improvement provides daily betterment in the work as well as skills of the person and makes the effort to provide quality to the organization. The quality management is very much considerable factor for the organization so as to get the effectiveness in the work completed (Kovach1, et.al., 2011).

In the words of Taylor, et. al. (2013), quality management focus on reducing the wrong attempts and variation and to provide or deliver the results which meet the requirements of work completed. The quality can be measured with the achievement of the work which is required and specifically intended to provide quality. Quality management must include customer satisfaction, cost of quality, continuous improvement, prevention of investigation, responsibility of management. The quality is something which any company must consider to achieve the required criteria.

For achieving the continuous improvement in an organization the Deming cycle (PDCA) must be considered by an organization. The case of Queensland Government which has to seek the up gradation of main switch board at Rail Centre 1. One of the continuous quality improvement model is PDCA cycle which is known as Deming cycle in which the repetitive actions of planning, doing, studying and act are done (Taylor, et. al., 2013). The continuous actions are done with the improvement of work from the past one. It provides the company a better quality management as the same actions helps to increase the quality of work in the next time. PDCA method or model of continuous improvement is effective and important model of implementing continuous improvement in an organization. Plan, do, check and action is the activity which an organization must repeat to improvise the functions of the company and also in improving the quality of work than before. This Deming cycle must be the part of Queensland Government’s working. The Deming cycle is explained below-

Plan- As per Taylor, et. al. (2013), in planning the problems and the cause of problem must be defined. It must include the planning of the solutions. The problems which occur in an organization or which requires the continuous improvement in an organization are to be considered in plan activity. The planning activity of PDCA cycle includes planning of resolving the problems and implementing continuous change. For Queensland Government, the planning must include the process of initiating the activity of upgrading the building air conditioning system by installing the new switch boards to the building. For this, the Queensland Government must start planning in this activity to improve the work (Taylor, et. al., 2013).

Do-Do is the next activity of an organization in which the work is to be executed. After planning the improvements required and making strategy to implement such changes and improvements the execution of the improvement and planned activities are required next. Moen and Norman (2010), also provided that doing is implementing the desired changes by an organization. It is the aspect of an organization which has to be done for bring up the changes required and ensuring the continuous improvement in an organization. The Queensland Government must next implement the planned activities for upgrading the building air conditioning system. The company must now install the new switch boards and for that, a proper estimation of cost and other aspects related with the changes of the switchboards which are required must be implemented (Moen and Norman, 2010).

Check- Next step in this Deming Cycle is the PDCA. In this, the organization must check the complete implementation of the executed activities in an organization. As per Sokovic, et. al. 2010), the check must be based on improvement in the work from before. In this, the organization must check the implementation of the work and the various improvements that has occur. The Queensland Government must check the installation properly and the air conditioning system must be checked at the time of power outrage. This step of the company helps in getting the work cross check and minimising errors. It also helps an organization in getting the information of improvements in the installation of the main switch boards and its impact of Rail Centre 1 (Sokovic, et. al., 2010).

Act- The action is the last activity which provides the company a huge satisfaction of the work done or the dissatisfaction with the work performed. According to Jin, et. al. (2012), this activity provides the company a check whether the work performed has improvement and satisfactory. If the work is satisfactory then the organization must standardize the improvements and changes made as well as improvise that more. In the case of dissatisfaction with the work then the work must be redone with the help of recycling the activities of Deming cycle. The planning, doing, checking and act activity is to be again considered in the case of dissatisfaction with the work (Jin, et. al., 2012). In the case study provided the Queensland Government after installing new switchboards must check and act according to the satisfaction and dissatisfaction of work.

According to Jin, et. al. (2012), these activities of Deming cycle (PDCA) are important to be considered and this is very important model of continuous quality improvement. This cycle helps in getting the work better than before and also improvise the quality of the work. The organization must consider the cycle as it provides the company to get into an organizational benefit.

With the continuous improvement, the quality management is the major aspect which the company must considered. The continuous improvement can be achieved with the quality improvement of the work performed. The quality of a project is necessary to assure as well as the risk assessment which is associated with the organization is also required to be assessed. The risk of failing is always a part of project. The risk assessment is very important for an organization to get the precautions before (Jin, et. al., 2012). It is very essential that an organization start managing the risks for better working of organization. Risk assessment in project management is important task to be considered by an organization.

Communication in project management is again the most essential part of the organization as during the project various changes and implementations are required to be considered by an organizations. These implementations can be properly done with the help of communication. The organization must focus on the communication. The stakeholder’s communication is crucial for an organization and meetings are done at the time of project closing stage (Burke, 2013).

The project management also consider the various structures including work breakdown structure. The project management must involve the proper activity of carrying out the plans in which the business plans and strategic plans must be carried out by senior executives. The line managers and project managers are different and for the projects their roles are different. Different projects has different working patterns. The projects working pattern depends on their work and the line managers and project managers need to manage the project (Meredith, et. al., 2011).

Change management is the process of five steps which include formulation of change, planning the change, implementing and managing it and sustain the change. The change management helps in identifying the change and need to consider the change management resources. The change communication is important to identify the areas of change is required (Burke, 2013). The planning of change is necessary and then the implementation of change is required. The transitions should be managed in which the transitions outputs into business are to be managed. Sustaining change is to keep that track of change management. The management in which the change is properly done must be sustained to get the work same or improved.

Conclusion

It is very clear from above discussion that to manage the project it is required to consider the various changes and improvements. The major area covered in this essay relates with the continuous improvement. The impact of continuous improvement and the process which it should consider is required. The change management and risk assessment is identified in this project, which the organization must consider. A complete improvement management is necessary for an organization to get the benefit of minimising the errors.
