The present case discusses the importance of project management practice in running an enhancement activity wherein the company wants to upgrade its systems although the data it provides is very sensitive and is being used by a large no. of business clients on live basis. Hence, it becomes more critical to keep the IT reliability of the new set up and also to satisfy the routine requirements of the existing clients while the enhancement activity is going. In this case the company AET has planned to migrate a large data centre to a new office location. This paper deals with the importance of Project Management in Running an Enhancement Activity  Careful planning is needed because AET operates in the highly competitive petroleum industry.  AET is one of five national software companies which provide an accounting and business management package for oil jobbers and gasoline distributors.  A few years ago, AET jumped into the “application service provider” world.  Their large data centre provides clients with remote access to AET’s complete suite of application software systems.  Traditionally, one of AET’s primary competitive advantages has been the company’s trademark IT reliability.  Hence, the present up gradation activity requires a good project management skills to check the timelines, cost, scope, quality and reliability of the new system and to keep the faith of the existing clients in place.

  1. It needs to be ensured that a thorough understanding of the requirement and all technical functionality are known before hand to draft a good and complete project design.
  2. The lead time of cable/construction material need to be saved as far as possible.
  3. A proper system integration testing of the new network architecture is required before shutting down the system.

As discussed in above Gantt Chart, the first two phases project planning and project design have been completed successfully. The major driving factors in these two phases were the prominent follow up with all the Functional and Technical managers to understand the feasibility of the whole project, timely meetings, and healthy interactions with the contractor while developing the Blue Print document. There was a schedule slippage of 1 week in the technical analysis phase which was covered during the resource arrangement activity. Secondly, we had planned to hire all the resources at the end of week 4 itself, but it was later on decided to hire only half at that moment and rest could be hired with a two weeks delay.

The Project development activity has also started and the procurement orders had been placed and were timely fulfilled by the external vendor. The construction floor is complete and a saving of 3 days was found in this phase. The planning for ventilation system is going on and the Racks/ Routers are being employed.

Overall, the project schedule has been strictly followed so far and similar things are expected in next two months as well.

The success for this project was highly dependent on the feasibility study phase and the accuracy used while drafting the blue print document.  The security and reliable transfer of data from existing data centre to the new data centre were the key requirements. A test run at the construction site of the new data center is proposed to check the network connectivity. The data will be transferred in the night time and to reduce the impact of shut down the existing database will be divided into three parts and each will be transferred separately. It will ensure to undermine the impact on most of the clients as the most commonly used data set will be transferred first. A backup of this data will be maintained in the old premises.
