BSBADM502 Manage Meetings Assessment Guide

Students who are pursuing the diploma of Management will find useful information for complete their assessments.

This unit defines the knowledge and skills required to arrange different meetings comprising overseeing the meeting preparation processes, leading meetings, arranging the actions, and reporting meeting outcomes.

Students are advised to read the following information carefully, it will help them to complete their assessment.

Question 1 (Develop agenda in line with stated meeting purpose)

1a. Refer to page 935 of BSBADM502 Management Book. Outline three basic considerations for developing an effective meeting agenda.

1b. Consider your work role. Plan the standing items in a typical meeting agenda that you would attend or run.

Question 2 (Ensure the style and framework of the meeting are suitable to its objective)

2a. Refer to pages from 929 to 932 in BSBADM502 Management Book. Plan the variances in structure between information giving and seeking meetings.

2b. Consider your workplace and role. What are the sorts of meetings that you normally run? Explain the typical framework of one of these meetings.

Question 3 (Identify meeting participants and inform them according to organizational processes)

3a. Refer to page no. 935 of BSBADM502 Management Book. Summarize how to decide whom to invite to a meeting and reasons behind the choices.

3b. Consider your work team. Form a meeting purpose where you would require to invite all team members to a meeting, and where you would only invite 2 or 3 members of the team.

Question 4 (Confirm meeting arrangements according to requirements of meeting)

4a. Refer to page no. 937 of BSBADM502 Management Book. Concisely explain the way that seating arrangement can be applicable to a meeting’s purpose.

4b. Consider your workplace and role. Outline the procedure by which you organize a meeting, containing place, seating arrangements, and timing.

8b. Consider your workplace and role. Outline an instance of a meeting you were chairing where elements of troublesome behavior challenged your ability to get the goals of the meeting. How did you deal with the condition?

9a. Refer to pages 944 & 956 of BSBADM502 Management Book. Outline 3 differences between taking minutes for a formal meeting and taking them to a quick team meeting.

9b. Consider your workplace. Explain the needs for taking the minutes for meetings usually organized in this workstation.

Question 10 (Check transcribed meeting notes to confirm they reflect a true and exact record of the meeting and are formatted according to organizational processes and meeting conventions)

10a. Refer to page no. 944 of BSBADM502 Management Book. What are the most significant objects to check are present in a meeting’s minutes? Briefly, describe each.

10b. Consider your workplace and role. Concisely outline the steps or process that you take to follow the action items from a meeting that you have led.

Question 11 (Distribute and store minutes and other follow up documentation inside chosen timelines and according to requirements of the organization)

11a. Refer to page no. 944 of BSBADM502 Management Book. In an organization who would receive a copy of the minutes of a meeting? When should minutes be dispersed?

11b. Consider your workplace and role. Who are meeting minutes dispersed to, and how they are stockpiled.

Question 12 (Report results of meetings as needed within designated timelines)

12a. Refer to pages 72-79 of BSBADM502 Management Book. Concisely explain how the framework of an organization would impact the way meeting results are reported upward in an organization (focus on the difference between a traditional organization compared with one structured around market type.)

12b. Consider your workplace. Refer to chapter 3 of BSBADM502 Management Book; explain the structure of the organization of this workplace. How does the organizational structure impact the makeup of regular meetings and the communication of results of those meetings?

The Project

You need to gather evidence of your experience in managing meetings or organize minimum two meetings to create this evidence. This evidence should be provided in a portfolio. You have to complete this assessment through your workplace or using a prior workplace for this project if you are not working.

This project needs that you show your capability in managing meetings by the provision of evidence regarding two meetings that you have led in your workplace.

For each meeting, you have to provide:

Meeting preparation
Conducting the meeting
Following the meeting

The Interview

In the final assessment, an interview will be placed. You may ask questions at any point during the completion of the assessment.
